POSITION OVERVIEW

Position: Personal Assistant & Administrative Support Specialist

Company: Giles Financial Consulting LLC

Location: Missouri City / Houston, TX area

Work Type: Hybrid preferred (few hours/week in person + remote) | 100% Remote considered

Schedule: Flexible — part-time hours based on weekly priorities

Pay: $10 – $15 per hour based on skill level

Classification: 1099 Independent Contractor — W-9 required before first payment

Experience: 1–2 years minimum in administrative or business support

Start Date: Immediate

Mileage and gas reimbursement provided for any travel-related tasks during in-person work. Fully remote candidates are welcome to apply if a qualified hybrid candidate is not found.

ABOUT THE ROLE

Giles Financial Consulting LLC is a growing boutique financial consulting firm serving small businesses, entrepreneurs, and nonprofit organizations in the Houston area. Our mission: Turning Visions into Profits.

We are looking for a reliable, organized, and proactive Personal Assistant to work directly with our founder. This is a flexible, part-time role where you will help keep daily operations running smoothly — managing schedules, executing the priority list, handling communications, supporting social media, and helping track compliance deadlines.

You do not need to know everything on day one — but you must be a fast learner, take ownership of your tasks, and follow through without constant reminders. If you are someone who gets things done and takes pride in keeping things organized, we want to hear from you.

WHAT YOU WILL DO

Daily & Weekly Administrative Support

▸ Manage and execute the daily and weekly priority task list

▸ Organize emails, correspondence, calendars, and scheduling

▸ Prepare internal documents, reports, and communications

▸ Coordinate meetings, appointments, reminders, and follow-ups

▸ Research vendors, services, or opportunities as directed

▸ Provide general operational support as tasks arise

Social Media Support

▸ Draft, schedule, and post content across GFC's social media platforms

▸ Monitor engagement and respond to comments or messages as directed

▸ Assist with content ideas, captions, and basic graphics coordination

▸ Track post performance and report simple analytics

‎‎

Compliance Deadline Reminders & Support

▸ Track key filing deadlines (Texas Franchise Tax, state filings, etc.) and send advance reminders

▸ Assist with organizing and preparing compliance-related documents

▸ Help ensure nothing falls through the cracks on the compliance calendar

▸ Maintain filing records and correspondence logs

Priority List Execution

▸ Review the company's priority list daily and take ownership of assigned items

▸ Report progress proactively — do not wait to be asked for updates

▸ Flag potential delays or blockers before they become problems

▸ Help leadership stay focused on high-value work by handling supporting tasks

WHAT WE ARE LOOKING FOR

Experience (1–2 years minimum in at least 2–3 of the following):

▸ Administrative or executive assistant support

▸ Document preparation and data organization

▸ Calendar management and scheduling

▸ Client or customer communication

▸ Social media management or content creation

▸ Deadline tracking or project coordination

Tools & Technology:

▸ Microsoft Office (Word, Excel, Outlook)

▸ Canva or basic design tools (a plus)

▸ Google Workspace (Docs, Sheets, Drive, Gmail)

▸ Slack or similar communication tools

▸ Social media platforms (Instagram, Facebook, LinkedIn)

▸ Ability to learn new tools quickly

WORK ARRANGEMENT & COMPENSATION

Preferred: Hybrid

• 2–3 hours per week in person in Missouri City / Houston area

• Remaining hours worked remotely on a flexible schedule

• Mileage and gas reimbursed for travel-related tasks
